Printing a Form:

1) Select Print Forms from the menu bar then select Print Tax Forms from the drop-down.

2) Select the payer/company from the Payer/Company drop-down.

3) Select the tax form type from the Tax Form drop-down.

4) Select the recipient(s) from the Recipients without Forms Printed window. 

5) Select the format, printing option (pre-printer or laser generated) and copy(s) you want to print. 

Select How-To Test Print Alignment to test align on a blank sheet of paper to verify it is print correctly on the pre-printed form - the alignment will NOT save when printing from the view screen

 * Pre-Printed Forms  - Forms that have the layout of the forms printed on the page ready for data population.

Note: The IRS states as long as your information is anywhere in the correct box the IRS will accept the forms - Copy A and the transmittals are federal copies using a special type of red drop out ink called "OCR" Optical Character Recognition when the IRS scans the forms it will only read the data.

 * Laser Generated (Blank) - Forms that may or may not have instructions printed on the back and are ready for data population with compatible software. This will print the form along with your data. IRS/SSA printing specifications require that blank forms have perforations. IRS/SSA Copy A can only be pre-printed forms. 

6) Set the print alignment and click Save Alignment -

Note: Will align the entire form type (sheet) not each section of the form

7) Click View to preview the form on screen or Print to print form

(If printing from the View screen you will have the option to print as a PDF or to your printer) NOTE: Printing for the View screen - It WILL NOT save the alignment you MUST print from the print button if you aligned your forms.

 NOTE: Recipient TIN Masking available for SSN Copy B only for 1099s

W-2 Copy C for employee the W-2 3-UP and 4-UP will not mask, because there are several copies on one page.

NEW for 2022: If you only printed one Recipient at a time in error and now need to print on the other copy of the forms, you will now have the option

Print on second form (2 Up Forms)

Calendar Year 

In 2022 the IRS updated the Tax Year on certain format tax forms to tax year 20 _ _ the software will print the 2 digit year. 

In 2023 In response to the IRS moving to a "continuous use" format for certain tax forms (where the full year is not preprinted on the form). The software will now print both formats 2 digit year and 4 digit year. 

The IRS will accept both versions of these forms for the 2023 tax year

You Must look at all copies before you print they can be different 

Copy A could be 2-digit year 

Copy B could be 4-digit year 

When selecting multiple copies you will be prompted to check if ALL copies are the same 

 

Reprinting a form: 

You are able to reprint a form by selecting the Recipient/Payee from the bottom box  

 

1) Select Print Forms from the menu bar then select Print Tax Forms from the drop-down.

2) Select the payer/company from the Payer/Company drop-down.

3) Select the tax form type from the Tax Form drop-down.

4) Select the recipient(s) from the Recipients/Payee with Forms Printed window. 

5) Select the format, printing option (pre-printer or laser generated) and copy(s) you want to print.

6) Set the print alignment and click Save Alignment.

7) Click View to preview the form on screen or Print to print. ( If printing from the View screen this prints as a PDF and will not save the alignment you must print form the print button if you aligned.

Print the 1099 Correction Form:

1)  Click Print on the tax form screen.

2) Select the tax form type you just filed from the

Tax Form drop-down.

3) Check the Correction box.

4) Select the recipient from the Recipients/Payees window.

5) Select the printing option of either Pre-printed or Laser Generated.

Note: Copy A can only be pre-printed and not laser generated.

6) Select the copy you would like to print.

7) Adjust the form alignment and click Save Alignment.

8) Click View to preview the form on screen, or Print to print. ( If printing from the View screen this prints as a PDF and will not save the alignment you must print form the print button if you aligned.

Note: If you only want to print out the correction forms you filed, select 1096 form and the Correction box in the Tax Forms section. Then highlight the payee(s) with correction forms filed and click either View or Print.

Printing State ID on a W-3

1) Select the Print Forms - Note: If the W-3 print is grey out, you will need to verify all the W-2 are in the bottom box "Recipients/Payees with Forms Printed" in order to print a W-3

2) Under the W3 Information Click Here

3) State from the drop down box select your State to print 

Note: If you have Multiple State and State ID for the W-2, you will have to select X if you want to have a combined total of State Income and State Tax for all W-2's

Print the W-2C: 

Note: Available in Laser Link - W-2C can only be printed using pre-printed paper.

1)  Click Print on the tax form screen.

2) Select W-2C from the Tax Form drop-down.

3) Select the tax year from the Year drop-down.

4) Select the recipient from the Recipients/Payees window.

5) Select the copy you would like to print.

6) Adjust the form alignment and click Save Alignment.

7) Click View to preview the form on screen, or Print to print.

(If printing from the View screen this prints as a PDF and will not save the alignment you must print from the print button if you aligned)

Checking you Printer Settings: 

Select for Printer Issues: Printing Issues- Alignment, Printer types, Too small or light

Software compatibility is tested with Laser printers (bubble jet, ink jet printers you could have alignment issues) 

Control Panel select Printer and Device

  • Select your default printer - Right click 
  • Select Printer Preferences select  Effects
  • Resizing Options: Actual size /  Scale to fit  100%
